Quoting software for landscapers

TradeKwote helps UK landscapers turn notes from a garden visit into a clear, professional quote in about 60 seconds, from a new lawn to a full patio and fencing job. You set the prices; TradeKwote writes up the scope.

Landscaping customers are often buying a picture in their head. The quote is where you make sure their picture and yours match: the size of the patio, the type of slabs, the edging, and what happens to the old turf and soil.

What a good landscaping quote includes

  • Measurements, such as the patio or lawn area in square metres, or fence length in metres.
  • Materials by type, for example Indian sandstone paving, sub-base, sharp sand and cement, fence panels and posts.
  • Groundwork: digging out, levelling, sub-base, drainage and edging.
  • Waste removal, including skip or muck-away, and whether you'll take green waste.
  • Labour, as days or a fixed price.
  • Aftercare, such as watering new turf, and what isn't included, like moving sheds or garden furniture.

How landscapers usually price work

Many landscapers work out the job from a day rate multiplied by the days needed, plus materials, plant hire and waste. Materials are often priced by area or volume, so accurate measurements matter. The work is seasonal and weather-dependent, so it's worth saying on the quote how you'll handle rain days.

Rules worth mentioning

  • In England, paving over more than 5 square metres of a front garden with a surface that doesn't let water drain through usually needs planning permission. Permeable paving, or directing water to a lawn or border, avoids this.
  • If you take waste away from jobs, you'll normally need to be registered as a waste carrier with the Environment Agency, or its equivalent in Wales, Scotland or Northern Ireland.
  • Trade body membership, such as BALI, is worth showing on your quotes.

How TradeKwote helps landscapers

  • Dictate the job as you walk the garden, including measurements, and TradeKwote writes a clear scope of work.
  • You enter materials, labour and waste as line items with your prices. The AI never adds items or changes prices.
  • Add up to 5 photos of the garden so the description matches the site. Photos stay private.
  • Ask for a deposit to cover materials, and set payment terms.
  • Add notes to the customer about weather, aftercare and exclusions.
  • On Pro, save templates for common jobs such as returfing, and turn accepted quotes into invoices in one click.

Tips for winning more landscaping work

  • Name the materials. "Indian sandstone, 22mm, riven" sounds more reliable than "paving slabs".
  • Include the sub-base and drainage on the quote. It's the part customers can't see, and the part that stops a patio sinking.
  • Offer options on separate lines, such as porcelain versus sandstone, so the customer can choose without you requoting.
  • Follow up. Garden projects are often planned weeks ahead, and a polite reminder keeps you in mind.

Example

Job note: Rear patio 5m x 4m, Indian sandstone, 100mm MOT sub-base, dig out and remove turf, new edging. Your lines: materials £1,450, labour 4 days £1,000, skip £280.
